LoopGlean is a customer relationship management (CRM) tool built for real estate agents. Because of that, this policy covers two different relationships: information about you, the person or organization with a LoopGlean account, and information you choose to store in LoopGlean about your own clients and contacts. For that second category, you are the data controller and LoopGlean acts as a data processor on your behalf — see "How we share information" below for what that means in practice.

1. Information we collect

Account and signup information

When you create a LoopGlean organization, we collect the organization name, your email address, and a password (stored as a salted hash, never in plain text — we cannot see or recover your actual password).

CRM data you input

Once you're using LoopGlean, you and your team control what goes into it: contacts, leads, properties, notes, tasks, calendar events, and similar records. This data is stored in a database dedicated to your organization, isolated from every other organization's data, and is not shared across organizations.

Payment information

Subscription payments are handled by a third-party payment processor. We do not receive or store your full card number — our payment processor handles that directly and shares with us only what's needed to manage your subscription (plan, billing status, and the last few digits of your card for display purposes).

Usage and log data

Like most web services, our servers automatically log standard technical information — IP address, browser type, pages visited, and timestamps — for security, debugging, and abuse prevention.

Cookies and similar technologies

The LoopGlean application uses a session cookie to keep you logged in; it's required for the product to function and isn't used for advertising. This marketing website (loopglean.com) uses a cookieless analytics tool that collects only aggregate page-view and referrer data — no individual tracking identifier is set.

2. How we use information

• To provide, operate, and maintain the Service, including the AI assistant, the daily briefing, and cross-session memory.
• To process payments and manage subscriptions.
• To send you service-related communications (e.g. billing receipts, security alerts, password resets). We do not send marketing email without a way to opt out.
• To monitor and improve reliability, performance, and security, and to investigate abuse or violations of our Terms of Service.
• To comply with legal obligations.

3. AI features & third-party AI processing

LoopGlean's AI assistant, daily briefing, and related features work by sending relevant parts of your CRM data (for example, a contact's name and activity history, or the text of your question) to a third-party AI model provider to generate a response. We do not use that data to train our own models, and we do not sell it.

Because this involves transmitting CRM data outside LoopGlean's own infrastructure, using the AI features means you're authorizing that transmission to our AI provider for the purpose of generating the response you asked for. Review your own regulatory or contractual obligations (for example, any confidentiality terms with your own clients) before entering sensitive data into a CRM field an AI feature might read. AI-generated content can be inaccurate — see the AI disclaimer in our Terms of Service.

4. How we share information

We don't sell your personal information. We share it only in these situations:

Service providers (sub-processors)

We use a limited number of third-party service providers to operate the Service, each processing data solely for the purpose of providing their service to us and bound by confidentiality and data-protection obligations. By using the Service, you authorize us to share the relevant information with these categories of providers:

• Payment processing — to bill subscriptions and manage payment methods.
• Email delivery — to send receipts, password resets, and other service notifications.
• AI model inference — to power the AI assistant and daily briefing (see section 3 above).
• Application hosting & infrastructure — to run and store the Service's databases and servers.
• Website analytics — cookieless, aggregate analytics for this marketing website only, not the application.

Your own organization

CRM data you enter is visible to other users within your own LoopGlean organization, according to the permissions your organization's administrator configures — that's the product working as intended, not third-party sharing.

Legal and safety

We may disclose information if required by law, subpoena, or other legal process, or when we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.

Business transfers

If LoopGlean is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We'll notify you before your information becomes subject to a different privacy policy.

5. Data retention

We retain account and CRM data for as long as your organization's account is active. If you close your account, we delete your organization's data within [RETENTION PERIOD, e.g. 30 days], except where we're required to retain records for legal, tax, or accounting purposes.

7. International data transfers
